Your personal information

Your personal information include your login and account information, contact details, personal information details and images you have shared on your profile page, and public activity on the site such as uploading resources, joining public groups and connecting with other members.

Your profile and activity information is shared on the site to serve the purposes of enabling access to resources and building an online community of practice and can be accessed by the team and the network members.

We also use your contact details for the purposes of emailing you with site notifications, event updates and newsletters.

As part of our site management and analytics tools, certain data is automatically collected from your device or web browser and used to collectively analyse site related activity and trends.  Data collected in this way includes cookies, IP addresses, and data identifying web browser, language and version.  This information helps us to understand how well the site is performing, optimise and operationalize the platform’s services, and conduct general research and analysis.  The information is processed for site analysis by the team and site administrators.

Members may leave comments during their visits to the site.  If you leave comments on the site we collect the data shown in the comments form, and also your IP address and browser user agent string to help spam detection.

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website are able to download and extract any location data from images on the website.


Cookies consist of information sent by a web server to a web browser, which is stored by the browser and then sent back to the server each time the browser requests a page from the server.  This allows the web server to identify and track the web browser.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment.  These cookies will last for one year.

We carry out regular monitoring and evaluation of site-related activities in order to inform ourselves about site performance and trends and to guide site development.  Such research and analyses are usually conducted through Google Analytics and utilising WordPress related plugins and tools that enable us to track site activity.

The platform is built on a WordPress site, and further utilises Mailchimp, Survey Monkey and Google Analytics to carry out site related activities and analyses.

How long we retain your data

We retain the information you have provided us during your membership, and delete it when you cease membership.

If you leave a comment, the comment and its metadata are retained indefinitely.  This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile.  All users can see, edit, or delete their personal information at any time (except they cannot change their username).  Website administrators can also see and edit that information.

What rights you have over your data

You can request an exported file of the information held on the site about you by contacting one of our network hosts: Tashiya de Mel <> or Shilpa Samaratunge <>.

If you no longer wish to be a member, please contact either Tashiya or Shilpa and we will remove your name and information from our membership database.

You can also request that we erase any personal data we hold about you.  This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we share your data

We do not  rent, trade or sell your personal information to third parties, including other organisations or businesses.

However, we may reasonably share information about you with those employed by and to its subcontractors in the course of carrying out activities geared towards facilitating the purposes of the platform, further site development and/or carrying out site performance related research and analyses.

We may share your information in situations where we may be legally required to do so.

How we protect your data

Your personal information and data is held securely on our site.  We will inform you if we have any concerns about breaches of site security.
